How Application Forms are Accepted?
Before formally accepting, entry clearance applications are examined to ensure that the essential information has been provided. This is usually done by a locally-engaged Entry Clearance Assistant who will check and ensure that:
. the application form is legible and has been filled out in full;
. two passport size photographs are included;
. the applicant's passport is valid.
Third parties, for example MPs, solicitors, relatives, immigrant organisations and established travel agents can submit entry clearance applications on behalf of applicant.

Note: An application is not considered valid unless accompanied by the appropriate fee in Indian currency.       
An applicant whose passport contains names of dependants aged less than 16 years may apply on one application form. If the application includes dependants, their particulars should be entered in the form and photographs submitted. If the names on the passport are of dependants aged 16 years or over, a separate application form must be completed for each dependant. All dependants who are traveling must pay the appropriate fee whether or not they are included in the main applicant's passport.

If the passport includes the particulars of a servant or any other person who is not a member of the family of the applicant, a separate passport and entry clearance will be required for that person.
An applicant may hold more than one valid entry clearance, e.g. a rzgular traveler already holding a two or five year multiple visit visa can also apply for an entry clearance for a short term work permit.

Supporting Documents
Applicant will normally be insisted upon to show the originals of supporting documents as alterations to a document are not always apparent on a photocopy. This is particularly important in respect of documents relating to birth, death, marriage, civil partnership or divorce. Original documents shall always be returned back to the applicant.
The text of any translated document must be clearly laid out so that the originator, addressee, date and signature are readily evident.

Undertaking by the Applicant
An ECG will make sure that the applicant is genuinely seeking entry for the period and the purpose stated. An applicant should give an undertaking to this effect by completing the relevant part of the application form.

Undertakings from Sponsors, MPs etc.
Applications for entry clearance which are supported by undertakings from a sponsor, Member of Parliament or other third party can also be accepted. In such cases, the undertaking shall be only in respect of maintenance and accommodation. Any other undertaking from a sponsor or any third party is unenforceable and no such undertakings will be sought by ECOs nor offers to provide one will be accepted. If such an undertaking is provided by the applicant as an accompanying document to his application, the same may be considered as a factor, but without extra weightage.

An undertaking from a sponsor is accepted only under exceptional circumstances to for certain categories, for example dependent relatives. An undertaking will normally be not necessary where the applicant is going to the UK for a few weeks' stay with close relatives who have demonstrated adequate income and! or funds. The form RON 112 (See Annexure UK-X) must be used for undertakings on maintenance and accommodation from sponsors.
The ECG will normally complete the certification on the form, keep a copy on file and send the original direct to:­

Note:
1. Failure by the sponsor to provide an undertaking on maintenance and accommodation when requested is, a ground for refusal.
2. Additionally, variation of leave to remain in the UK can be refused by the Home Office if a sponsor subsequently declines to give such an undertaking, or fails to honour one.

Interviews
Application can be processed straightforward without interviewing an applicant if the ECO is satisfied that it is not necessary to establish the applicant's bona fides and intentions. This category is likely to include:­
. regular or frequent visitors;
. business travelers or others whose bona fides are not in doubt; persons recommended by HMG or Indian government (where the ECO is satisfied about sponsorship);

. British Council/ chevening scholars.
Under all other circumstances interview will be conducted and the applicant must make sure that he understands the language in which the interview will De conducted. Although this aspect is more likely to be taken care of by the ECO.
All negative factors that have been noticed by the ECO in the applicant's application are normally put forward during the interview so that the applicant has an opportunity to respond to them.

Where there is a group of adults applying, each adult is interviewed separately; unless it is agreed amongst the group that one adult can speak for all.
If an applicant requests a copy of their interview notes, he is supplied the same free of charge.
Children under 10 years are generally not interviewed in case traveling with a responsible adult such as the parent or guardian. In case where he is traveling alone, responsible adult such as the parent or guardian will be interviewed. Children between 10 and 14 years are interviewed only in the presence of the parent! s or guardian. Children over 14 years may be interviewed alone.
Where a child under the age of 18 years travels alone and the parent or legal guardian does not provide written consent to the application, such applications are liable to be refused.
